January 8 - 13: Grant Cycle/Request for Proposals Publicized
(July 8 - 13)*
HARC will announce the start of the upcoming grant cycle and its intent to begin accepting grant applications/proposals. The schedule will be posted on the Authority’s website and may be communicated through emails to previous grantees and to the Community Resource Network distribution list.
January 16 – February 3: Pre-Proposal Conferences/Orientation Sessions Held
(July 15 – August 3)*
Participation in a pre-proposal conference is mandatory for all new applicants. Previous grantees also must register for a pre-proposal conference if they are seeking funds for a program or project not previously funded. If seeking repeat funding, applicants must notify HARC’s executive director via email or phone of their intent to apply.
February 5 - 9: Proposals Accepted
(August 1 - 5)*
Completed grant applications must be submitted to HARC no later than 5 p.m. on February 9 (August 5 for Cycle II). An electronic copy of the application must be emailed by the deadline to jmills@healthtrustrockdale.org. Additionally, three hard copies plus the original must be sent to the HARC offices at 1412 Milstead Avenue, Conyers, 30012 via USPS or UPS. Hard copies must be postmarked by the deadline.
February 12 – 16: Staff Review; Technical Assistance Provided As Needed
(August 12 - 16)*
The executive director will review all applications for eligibility and completeness. Applicants may be contacted by the executive director and allowed to make corrections or revisions that will improve the proposal’s potential for being selected for funding.
February 20: HARC Primary and Secondary Leads Assigned for Each Application
(August 20)*
Each applicant will be assigned a HARC primary lead and a secondary lead. Both leads will review the application. The primary lead will conduct a site visit and applicant interview. Secondary leads are encouraged, but not required, to participate in site visits and interviews. The primary and secondary leads will confer prior to making a funding recommendation to the full Board.
February 26 – May 13: HARC Site Visits/Interviews Conducted
(August 26 - November 16)*
The executive director will coordinate and attend site visits and interviews with HARC leads.
May 21: HARC Board Deliberations; Grant Awards Determined
(November 19)*
HARC leads will make funding recommendations for consideration by the full Board of Trustees. Some applicants may be requested by HARC leads to attend the meeting to present their request to the full Board. The Authority will make a determination on each pending application: approve as requested, approve an amount less than requested, deny, defer, allow applicant to withdraw. Special conditions may be attached to the approval of a grant.
May 22 - 31: Award Announcements and Conditions of Grant Distributed
(November 20 - 30)*
Applicants will be sent a letter or email notifying them of the Board’s decision on their proposal. Award letters/emails will include a document outlining the conditions of the grant, which the applicant must sign and return to HARC.
June 3 - 29: Funds Disbursed Upon Receipt of Signed Conditions
(December 1 - 31)*
Funds will be disbursed upon receipt of the signed conditions.
